Madeline Island School of the Arts, known as MISA, is a retreat destination whose workshops attract artists of every skill level. Its reputation was built on the quality of its in-person programs, but its digital experience had not kept pace. Workshop registration and student management relied heavily on manual processes and outdated systems, and the fact that MISA runs workshops across five locations in three states made the experience confusing for students and labour-intensive for staff.
Working with an implementation partner, MISA replatformed to Shopify Plus. The project modernised the website while protecting the school's brand identity, replaced manual tasks with automation, and used native Shopify data structures to represent the relationships between workshops, instructors and locations. The outcome is an online presence that better reflects the community students experience in person, and a team that spends less time on administration and more on the artists it serves.
About Madeline Island School of the Arts
MISA operates in the arts and education space, offering workshops that bring artists together in a retreat setting. Although its name points to Madeline Island, the school actually runs different workshops across five locations in three states. Each workshop has its own instructor, dates, venue and capacity, which means the school's catalog behaves less like a simple product list and more like a schedule of events that must stay accurate as courses fill and change.
The Challenge
MISA's core challenge was that its online experience lagged behind the quality of its programs. Prospective students arriving at the website did not get a sense of the creative community and craft that defined the in-person workshops, and the content itself, from imagery to written descriptions, needed significant improvement.
Behind the scenes, workshop registration and student management depended on manual data entry and other labour-heavy processes running on outdated systems. With workshops spread over multiple locations and states, overlaps between programs created confusion. Staff time that could have gone into supporting artists was being consumed by administration, and the process was slow for students as well.
- A digital experience that did not reflect the quality of MISA's in-person workshops
- Registration and student management dependent on manual data entry and outdated systems
- Workshops across five locations in three states creating confusing overlaps
- Labour-intensive processes slowing down both staff and students
- Content, imagery and storytelling on the website in need of a major refresh
The Solution
The project began with discovery sessions to understand MISA's specific workflows and pain points before any technology was chosen. Its guiding principle was that technology should serve the school's operations, not the other way around. Shopify Plus was selected for its scalability, its pre-built app ecosystem and its flexibility, and the processes themselves were redesigned so that automation could replace manual work.
Shopify Plus as the registration platform
Shopify Plus became the foundation for selling and managing workshop places. Using a commerce platform for registration gives MISA a reliable checkout and order record for every enrollment, while the app ecosystem supplies capabilities that would otherwise need custom systems.
Workshop data modelled with metafields and tags
Native Shopify metafields and tags, together with the CRM configuration, were used to represent the relationships between workshops, instructors and locations. Structuring this information properly is what allows a multi-location program to be presented clearly and filtered without overlaps.
Automation with Shopify Flow
Shopify Flow automates tasks that previously required staff to step in manually, reducing data entry and the risk of errors as registrations come in.
Klaviyo for email and CRM
Klaviyo supports email marketing and customer relationship management, helping MISA communicate with prospective and returning students from data captured on the store.
Data migration and subscriptions
Matrixify was used to migrate data into the new platform, and Bold Subscriptions provides subscription capability within the store.
Implementation Journey
The engagement covered UX and UI design, replatforming, systems and data work, custom development and ongoing optimisation. After discovery, the team redesigned MISA's processes to remove manual steps, rebuilt the website while keeping the school's established brand identity, and substantially updated rich text, multimedia, blog content and imagery. Ecommerce, usability and performance best practices were built in from the start. The public case study does not give a project timeline or launch date.
The Results
The published case study does not include quantitative metrics such as revenue, conversion or time savings. Its reported outcome is qualitative but meaningful for a small education organisation: MISA's online presence now better reflects the community students find in person, and staff spend less time on operations and more time with the artists they serve.
- Manual registration and student management processes replaced with automation on Shopify Plus
- Workshops, instructors and locations modelled in native Shopify data structures to reduce overlaps
- Website modernised with refreshed content, multimedia and imagery while keeping MISA's brand identity
- Online presence that better reflects the quality of MISA's in-person community
- Staff time shifted from administration towards supporting artists
Key Takeaways for Growing Businesses
Start with workflows, not tools
MISA's project opened with discovery into how the school actually works. Education providers planning a new platform should document their registration and student processes first, so the technology is chosen to fit them rather than forcing the organisation to adapt.
Treat courses as structured data
Workshops have instructors, venues and dates that relate to each other. Modelling those relationships properly, rather than writing them into free text, is what makes multi-location programs easy to browse and manage.
Let the website carry the experience
For organisations whose value is felt in person, the website is often the first impression. Investing in content and imagery that convey that experience is as important as the registration mechanics behind it.
