NextLink Group is a Switzerland-headquartered IT services and consulting firm with between 201 and 500 employees and offices in Spain, the UK, the Czech Republic, India, Germany and France. Despite its size and international footprint, the company was running core processes on Excel and local accounting software in each country.
An Odoo implementation delivered in about three months changed that. A custom contract wizard reduced contract setup from 15 minutes or more to under a minute, cutting contract management time by 93.3%, while integrated sales, project and timesheet data allowed accurate monthly invoicing across the group without delays.
About NextLink Group
NextLink provides custom software development, IT consulting and cloud solutions. A large share of its business involves placing skilled staff on client engagements, which means every new engagement generates a chain of administrative work: an employee contract with rates, a sales order, a project, time tracking and, every month, an invoice. With a growing customer base and subsidiaries in several countries, that chain was repeated hundreds of times a year.
The Challenge
The company handled roughly 350 contracts and between 1,500 and 2,500 invoices per year, almost entirely by hand. CRM and HR data lived in an expanding collection of spreadsheets that staff updated manually so managers could review deals. Creating employee contracts, tracking expiry dates, calculating rates and reporting time all happened outside any shared system, which led to inconsistencies and a lot of double-checking.
Invoicing across the multi-company structure was particularly painful. Each subsidiary needed monthly invoices based on tracked time, and accountants had to enter and verify the data themselves, making on-time billing hard to guarantee. NextLink set three goals: automate contract and resource management, produce timely and accurate invoices from time tracking, and centralise these processes in one system.
- Around 350 contracts a year created and tracked manually
- 1,500 to 2,500 invoices a year entered and checked by hand
- CRM and HR data scattered across growing spreadsheets
- Separate local accounting tools in each country
- No consolidated view of financial flows across subsidiaries
The Solution
After several days of workshops to map workflows and prioritise time tracking, contract management and invoicing, NextLink adopted Odoo with a set of targeted customisations. The rollout was organised in phases covering general settings, CRM, Sales, Timesheets and approvals, Invoicing and supplier payments.
Contract management wizard
In standard Odoo, setting up a placement meant creating a product, a user and an employee record, a contract with rates, a sales order and a project with tasks in separate screens, which took 15 minutes or more. A custom wizard now collects everything in one window and generates all of those records at once, in under a minute.
Integrated invoicing
The Sales, Project and Timesheets apps were connected and the invoicing process adjusted so that validated time flows directly into monthly invoices for each subsidiary, removing manual entry and re-checking.
Multi-company reporting
NextLink first ran a custom consolidation layer that grouped data from several companies under a main company for reporting. After moving to Odoo 14 Enterprise, standard multi-company features covered the requirement, reducing custom code.
Access rights and chart of accounts
Custom permission groups were added, for example limiting who can edit or cancel invoices after an incident where the wrong invoice was changed, and restricting the contract wizard to responsible staff. Country, company and city prefixes were added to accounts so accountants can follow financial flows across the group.
Implementation Journey
The project was delivered with a lean team of a business analyst and project manager, one Odoo developer and a part-time QA specialist, with a lead time of about three months followed by ongoing support. Work began with in-person workshops, demos of Odoo against NextLink's real processes, gap analysis and mockups for custom features. Standard Odoo invoice sequences were retained to keep migration and future support simple, and the company later moved to Odoo 14 Enterprise, which allowed some custom functionality to be replaced by standard features.
The Results
The most measurable impact was on contract administration, where the wizard turned a multi-screen, error-prone task into a one-minute action. Invoicing became reliable across the multi-country structure, and consolidated reporting replaced the spreadsheets managers had depended on, giving finance a clear overview of the group's financial flows.
- Contract management time reduced by 93.3%
- Contract setup cut from 15 minutes or more to under one minute
- Accurate monthly invoices produced across subsidiaries without delay
- Consolidated reporting replaced Excel tables
- Implementation delivered in about three months
Key Takeaways for Growing Businesses
Automate the repeatable chain
When the same sequence of records is created for every engagement, a single guided workflow can save far more time than optimising each step separately.
Customise lightly, then retire
NextLink used custom code to fill gaps, then replaced it with standard features when the platform caught up. Keeping customisation targeted makes upgrades and support easier.
Control who can change what
Clear permissions around invoices and contract creation protect data quality as more people work in one shared system.
