Uniform4Kids is a family-run business with five school uniform and sportswear stores in North London, supplying uniforms to more than 150 schools across the UK. Like most uniform retailers, it depends heavily on its online store during peak periods, when parents are buying for the new school year all at once.
Its previous ecommerce site ran on a custom platform that was dated, not mobile-responsive and difficult to get data out of. Orders also had to be fulfilled from five different locations, which made processing inefficient. Working with an implementation partner, Uniform4Kids migrated to Shopify, built a custom data transfer from the old platform, and added an order management system, detailed product filtering and click-and-collect across all five stores. The new store launched in time for peak season, and staff now spend significantly less time fulfilling orders and emailing customers.
About Uniform4Kids
Uniform4Kids serves families whose children attend a large number of different schools, each with its own uniform requirements. That creates a catalog organised around schools, garments and sizes, and a customer base that shops in concentrated bursts around the start of term. With five physical stores in North London, the business also has to decide which location fulfils each online order and give parents a convenient way to collect.
The Challenge
The old online store had aged badly. It was not responsive, and it ran on a custom platform whose product data could not be exported in the format needed for a move to a new system. Any replatforming therefore had to solve the data problem first.
Fulfilment was the operational pain point. Orders came in centrally but needed to be handled across five stores, and without a system to route each order to the right location, staff spent time sorting, processing and following up with customers by email. During peak trading, that inefficiency added pressure at the busiest time of the year.
- A dated, non-responsive online store on a custom platform
- Product data that could not be exported in the required format
- Orders fulfilled from five locations without a way to route them to the right store
- Heavy reliance on online sales during peak back-to-school periods
- Staff time absorbed by manual order handling and customer emails
The Solution
Uniform4Kids worked closely with its implementation partner to move to Shopify. Competitor and industry analysis informed the design and development, and the build focused on three practical needs: getting existing data into Shopify, making it easy for parents to find the right items, and giving each of the five stores a clean way to manage its own orders.
Custom data migration
Because the custom platform could not export product data in the required format, a bespoke process was used to transfer the old store's records into Shopify, bringing everything into one place on the new platform.
Store-level order management
A new order management system routes orders so that each of the five stores handles its own orders without overlap, making fulfilment across locations more organised.
Click-and-collect across five stores
A custom click-and-collect feature lets parents pick up their purchases from any of the five Uniform4Kids stores, combining the convenience of online ordering with the shop network the business already had.
Detailed product filtering
A detailed filtering system helps parents find the right items quickly, which is important for a catalog spanning many schools, garments and sizes.
Responsive custom design
The store was given a custom design with mobile-responsive layouts, replacing the old non-responsive site.
Implementation Journey
The project combined design informed by market research with data migration and custom functionality. Records from the old platform were moved into Shopify through the custom transfer process, the order management and click-and-collect features were built for the five-store network, and all staff were trained on the new system. The store was delivered in time for the peak selling season. The public case study does not give a precise timeline or launch date.
The Results
The published case study does not release sales or performance figures, so results are qualitative. It reports that the new store launched before peak season, that all staff found Shopify significantly easier to use than the previous system, and that the time spent fulfilling orders and emailing customers fell, freeing staff for other work.
- New Shopify store launched in time for the peak school uniform season
- All staff trained and found Shopify significantly easier to use than the old system
- Significant reduction in staff time spent fulfilling orders and emailing customers
- Click-and-collect available across all five North London stores
- Product data from the custom platform consolidated into Shopify
Key Takeaways for Growing Businesses
Plan around your peak
Uniform retail is seasonal, and Uniform4Kids timed its launch for peak trading. Businesses with concentrated sales windows should set go-live dates that leave room for training and testing before demand arrives.
Solve data portability early
The old platform's export limits could have blocked the move. Checking early how product and customer data will leave a legacy system avoids surprises late in a migration.
Use stores as a fulfilment asset
Routing orders to individual stores and offering click-and-collect turned the physical shop network into part of the online service. Multi-location retailers can often improve efficiency and convenience by connecting stores and ecommerce in this way.
